Building a Multi-Tenant School Operating System — Admissions to Advancement — With One Engineer and AI
The Challenge
Small schools, academies and micro-schools run on a patchwork of disconnected tools — one system for admissions, another for the gradebook, a third for fundraising, plus spreadsheets for HR, tuition and compliance. Each has its own login, its own copy of the same student, and its own bill. The goal was a single platform that could run the whole institution — admissions and enrollment, learning and curriculum, advancement and fundraising, HR and hiring, finance and reporting — with strict tenant isolation so every school keeps its own data, and an architecture modern enough that an AI agent could operate it as capably as a human using the screens.
The Solution
We built an API-first, multi-tenant Laravel platform where every capability is exposed as a versioned endpoint before it is ever given a screen. Institution data is isolated through a tenancy layer applied to every model, so one deployment safely serves many schools. On top of the API sits a full OAuth 2.1 authorization server, which means a Claude or OpenAI agent can be granted scoped access and do anything the API can do — read the roster, move an applicant through the funnel, draft a fundraising appeal — while each tenant supplies its own AI key. Public-facing flows let families apply, upload documents, e-sign and pay tuition online, and each institution gets its own branded academy site with custom domains and theming.

Architecture & Tenancy
Designed the multi-tenant data model and per-institution isolation trait, established the API-first convention, and stood up the declarative capability/object registry that the whole platform is described by.
Admissions, Enrollment & Learning
Built the admissions funnel, public registration with document upload, e-signature and Stripe tuition payment, plus the learning, curriculum and certification modules.
Advancement, HR & Finance
Added fundraising and grants, hiring and HR, billing and invoicing, and the reporting layer — all sharing one tenant-scoped data model.
AI, MCP & Launch
Wired the multi-provider AI assistant, shipped the OAuth 2.1 MCP server for agent access, and deployed to production with automated build-and-verify.
