Credential Compliance and a Public Directory for Medical & Legal Practices — With a Privacy Boundary Built Into the Architecture

The Challenge

Small medical and legal practices need the front of house handled — get found, capture enquiries, onboard staff, and keep every practitioner's licenses, registrations, insurance and continuing-education cycles current — without the compliance liability of a system that touches patient or client files. A lapsed license is an existential risk for a solo clinician or attorney; a mishandled patient record is a different one. The design problem was to build genuinely useful practice software while drawing a hard line: hold records about the practitioners, and never about the people they treat or represent.

The Solution

Practicn is a Laravel platform whose live core is a public specialty directory, lead capture, passwordless onboarding, and a credential roster that sorts every practitioner's licenses into three buckets — expired, undated, and renewing soon — because each needs different work. Sign-in is passwordless (magic link) with WebAuthn passkeys for Face ID, phone and email verification, and it installs as a PWA. The defining decision is architectural: the practice appears under every practice area and state it is licensed in, credentials are surfaced through the mesh certifications spoke, and the platform deliberately never ingests patient or client records — which positions the vendor as software provider, not a HIPAA Business Associate. That boundary is rendered on every page, stated twice in the clickwrap, and asserted by an automated test. Like the other mesh verticals, it runs fully standalone and syncs to NOWAITN's CRM, certifications and verification spokes only when a platform key is present.

Build Process

Phase 1 4 days

Boundary & Directory

Established the practitioner-only data boundary as an architectural constraint, and built the public directory across 62 medical and legal specialties by state.

Phase 2 4 days

Credential Roster

Built the practitioner roster and the expiry engine that sorts credentials into expired / undated / renewing-soon buckets.

Phase 3 3 days

Auth & PWA

Passwordless magic-link auth, WebAuthn passkeys, phone and email verification, admin approval, and PWA install.

Phase 4 3 days

Mesh & Launch

Wired the CRM, certifications and verify spokes behind local fallbacks, asserted the privacy boundary with tests, and deployed to production.

Results & Impact

Credential roster sorts every practitioner's licenses into expired, undated and renewing-soon so nothing lapses unnoticed

Public directory across 62 medical and legal specialties, listed under every area and state a practice is licensed in

Passwordless sign-in with WebAuthn passkeys and phone/email verification, installable as a PWA

Privacy-by-architecture: holds practitioner records only, keeping the vendor a software provider rather than a Business Associate

Consumes NOWAITN certifications, CRM and verification spokes — and stays fully functional with no platform key

The practitioner-only boundary is rendered on every page, stated in the clickwrap, and enforced by an automated test
